We offer the use of a secure server. All supplied sensitive/credit information is transmitted via Secure Socket Layer (SSL) technology and then encrypted into our Payment gateway providers database only to be accessible by those authorized with special access rights to such systems, and are required to keep the information confidential. Your information, including your credit card information, is encrypted and cannot be read as it travels over the Internet.

We are in compliance with the requirements of COPPA (Children’s Online Privacy Protection Act), we do not collect any information from anyone under 13 years of age. Our website, products and services are all directed to people who are at least 13 years old or older.

Program Accessibility

We strive to design programs that take all campers and staff into account. That said, we will not always be able to accommodate each individual’s specific needs.

Most common needs and/or potential challenges are often accounted for, and we know that every person and family is unique. We commit to providing transparency and support during your camp selection process and your week(s) at camp. This includes guiding you to make the best decision possible when choosing your camp program.

Positive Participation Policy

We expect that every girl will bring a positive attitude to camp, be actively participating in all of the sports, art, team, and circle activities. As Athena Camps has many group activities, it is imperative that each girl is respectful of her coaches and the other girls in the camp.

Ongoing negativity and disruptive behavior that significantly compromises the efficacy of the group will not be tolerated. Athena Camps reserves the right to remove a girl from the camp if we are unable to resolve the issue. On the same note, parents and guardians also agree to be respectful toward all.

Agreements & Problem Solving

Every Monday, at the end of the opening circle, coaches go over the camp agreements with the girls and ask them to “own” their camp experience by taking responsibility for the camp culture.  Coaches write the agreements on the whiteboard and briefly ask for relevant examples of each one.  After each agreement is clarified, the group gives a “Thumbs Up” if they agree.

The Agreements are as follows:

  1. Be SAFE (bathroom buddies, nut-free, stay where we can see you, personal space, use equipment properly)
  2. Use Your Voice (loud and proud)
  3. Be RESPECTFUL (to each other, property, and pick up trash)
  4. TRY NEW THINGS (participate, make new friends)
  5. Help Others!
  6. Have FUN!

Note: These are posted in clear view and reviewed all week. The agreements are read with the girls every morning, not just on the first day of camp!

The Problem Solving methods are as follows:

Illness

The health of our staff and campers is our top priority.  If your child is sick, please keep her home and inform the Camp Director. If the illness is prolonged, we will work with you to find an alternative week to attend.

Athena Camps will follow the COVID-19 Public Health Guidance for K-12 Schools in California. Masks will be optional in all settings.

Peanut and Nut Free Policy

  • Athena Camps staff will not serve any food. For the safety of all of our campers, we will not allow food to be shared among campers, including parties and special events.
  • Parents are asked not to use peanut products in food they provide for their own campers for either snacks or lunch. Although sharing food is prohibited, the chance does exist and we need to be cognizant of that fact.

Cancellation/Refund Policy

No refunds are issued after April 15, 2025. This includes all extended care. No credit will be given for absenteeism or partial attendance in any session.  Incomplete Camp weeks are not transferable to future dates.

Change Policy

We will do our best to accommodate a change of plans if space is available in another week.  Change fee is $35 after April 15.

Same Day Sign-Up Policy

If space is available, you are welcome to join us.  We do not pro-rate our camps and no discounts will be given for days missed.  Full payment is required before attending the first day of camp.

Camp Openings

Some of our weeks may have openings and Athena Campers often want to return for more. You can register on your Campsite account online at:  https://athenacamps.campmanagement.com/campers

Waitlist

If your daughter is on a Waitlist and space becomes available, you will be sent an email.  You will have 24 hours to log in to the registration system, call (408-490-4972) or contact us to confirm and pay for your daughter’s registration.  After 24 hours, the next person on the waitlist will be contacted.  If you no longer want the spot, please let us know as soon as possible so we may give others the opportunity to attend Athena Camps.

Personal Property Policy

Camp attendees are prohibited from bringing personal property to the camp, except for items explicitly permitted by camp staff. This includes but is not limited to personal equipment such as electronics, valuable jewelry, large sums of money, expensive clothing, alcohol, drugs, animals, weapons and any other non-essential personal belongings.

Personal property increases the risk of theft, loss, or damage, which can compromise the safety and well-being of camp attendees. Electronic devices and other personal belongings can distract campers from fully engaging in camp activities, socializing with peers, and enjoying the outdoor environment.

Purchase Terms & Conditions

Effective Date: December 9, 2024

You confirm that you are registering your child(ren) for the previously listed Athena camp(s) and that you have read and understand these Purchase Terms & Conditions, and the Terms of Service which are incorporated by this reference. Your child(ren)’s enrollment and participation in our camp is subject to the following payment, transfer and cancellation terms:

Enrollment and Payment:

Payment is due upon enrollment, either in full or, where available, according to your selected Payment Plan schedule. Customers may not participate in camp programs until all payments have been made.

If you have elected our Payment Plan schedule option, automatic payments will be processed according to the schedule displayed at the time of registration and included in your confirmation email. Should an automatic payment fail, Athena will notify you via email, and provide you an opportunity to re-attempt your transaction and/or update your payment method. Failure to complete a scheduled payment following notification may result in cancellation of your purchase, subject to the standard terms below.

By signing up for Athena Camps, I, acknowledge and agree to the following:

 

  1. Change Policy:  There is no penalty or fee to change camps until April 15. After April 15, there will be a $35 change fee. All change requests must be in writing and sent via email or our contact form.
  2. Cancellation Policy: If you cancel prior to April 15, 2025, you will receive a full refund of your payment to the original payment method, less a 5% processing fee.
  3. April 15 or later, if you cancel fourteen (14) business days prior to your camp start date, you may receive a camp account credit for each session purchased, less a $50 processing fee for each session cancelled, usable for any Athena Camp offering through August 31, 2025. All cancellation requests must be in writing and sent via email or our contact form.
  4. No credit or refunds will be provided if you cancel within fourteen (14) days of your camp start date. As of April 15, 2024 there are NO REFUNDS for camp fees, extended care or merchandise. 
  5. For myself, my heirs, my child and assignees, I expressly and voluntarily assume all risk of losses sustained related to all participation in all sports, recreation, and art projects during the camp day. I accept all risks, both known and unknown, and assume full responsibility for my child’s participation. I acknowledge that my child is in full health and able to participate in all listed Athena Camp activities. These include horseback riding, pickle ball, tennis, volleyball, yoga, running, soccer, basketball, lacrosse, and self defense.
  6. I, for myself, my heirs, my child and assignees, hereby release, indemnify and hold harmless ATHENA CAMPS, LLC, its employees, and volunteers, from any and all injury, disability, death, or loss of damage to person or property that may occur at Athena Camps, LLC as a result of my child’s participation in the Camp, but NOT to the extent that such liability is due to willful misconduct of ATHENA CAMPS, LLC, their employees, agents or volunteers.
  7. Except in the case of emergency, I understand that ATHENA CAMPS, LLC will NOT administer medication and children are not allowed to have medicine in their possession. If a child requires an Epi-Pen a “Medication Consent Form” and doctor’s instructions are required prior to the start of Camp.
  8. The parent or legal guardian enrolling this child at camp certifies that the child is both physically and emotionally healthy; acknowledges that this application is accepted subject to complete examination by a physician.
  9. The camp is not responsible for campers/ICIT equipment or personal belongings while in transit or at camp.
  10. No reduction, refund or allowance will be made for late arrival, dismissal or withdrawal of a camper, for any reason. We fully understand that the Camp reserves the right to dismiss, in its sole discretion, a camper/CIT whose condition, conduct, influence or behavior is deemed by the Camp unsatisfactory or detrimental to the best interest of the Camp or who violates the Camp Rules and Regulations. We acknowledge that the camp cannot replace the camper once the season has started and that we will not be entitled to any refunds.
  11. For good and valuable consideration we hereby consent to and authorize the reproduction, publication, and use by the camp and their assignees for advertising, commercial, or any other purposes of any photograph, picture, sobriquet, voice or likeness of my/our child.
  12. IN CASE OF SURGICAL OR MEDICAL EMERGENCY, the parent hereby gives permission to Athena to transport to the hospital, the physician selected by the Camp Director to hospitalize, secure proper treatment for, and order injections, anesthesia or surgery for my child. I understand that every effort will be made to contact me, and the emergency contact identified, while action is taken. I will be financially responsible for any medical attention needed during the Camp or resulting from injury received at the Camp. I acknowledge that my medical insurance shall be the primary insurance coverage for any medical treatment.
  13.  A Parent/ guardian or authorized adult will sign the child in and out of camp each day, unless otherwise agreed upon in writing prior to camp.

Cancellation by Athena:

If Athena cancels a camp session for any reason within its reasonable control, you may choose between a 100% refund to the original payment method, or a 100% future camp credit to be redeemed for services by August 31, 2026. In the event of an interrupted camp program, the amount of the refund or future camp credit will be prorated for the missed portions of the program.

Cancellations/Modifications Required by External Events Beyond Athena’s Reasonable Control

Athena shall not be liable to any customer for Athena’s need to cancel, modify or postpone camp as a result of events that are beyond Athena’s reasonable control (a “Force Majeure Event”). Athena incurs substantial non-recoverable costs and expenses of its own in planning, preparing, and pre-paying amounts for camps. Accordingly, if Athena cannot operate a camp as originally scheduled or it is interrupted due to any Force Majeure Event, customers will receive a credit for all monies paid, which must be redeemed for services by August 31, 2026. In the event of an interrupted camp program, the amount of the future camp credit will be prorated for the missed portions of the program. Cancellation, modification or postponement by Athena for causes described in this section shall not be a violation of its obligations to any customer and will not be deemed a “failure” to provide services.

Force Majeure Events include, but are not limited to, such “acts of God” or events as actual or threats of: (i) epidemics or pandemics, or other public health issues or emergencies (such as but not limited to the current COVID-19 pandemic); (ii) severe weather events or natural disasters such as but not limited to hurricanes, earthquakes, tsunamis, tornadoes, fires, floods, volcanic activity or landslides; war (whether declared or undeclared); (iii) terrorist activities; (iv) incidents of violence, riot, sabotage or civil commotion; (v) strikes or labor disputes or lockouts; (vi) government orders, sanctions, actual or potential quarantines, or other restrictions affecting activities in or around a camp location; (vi) chemical or radioactive contamination; (vii) any other reason that makes it actually or potentially impossible or illegal for Athena to offer camp services as originally contracted; or (viii) unavailability of camp facilities due to (i)-(vii) above.

Payment from a Bank Account:

Use of a bank account as a payment method on Athena’s website is subject to these terms and conditions (the “Terms”). Use of the Athena website is also governed by our Terms of Purchase, Terms of Service and Privacy Policy. We may update these Terms by posting updates on our website. By continuing to use your bank account as a payment method, you accept the updated Terms.

Authorization: When you pay for camp enrollments using your bank account, you authorize us to debit your bank account up to the total amount of your purchase, including applicable fees. You also authorize us to further debit or credit your bank account to correct any erroneous debit, make necessary adjustments to your payment, or to issue a refund back to your bank account.

Bank Account Eligibility and Verification: Your bank account must be able to accept debits denominated in US dollars. You authorize us to make any inquiries or obtain any information, including a credit report or other credit checks, that we determine are necessary to verify your bank account. We may suspend, refuse, or remove your ability to make a payment using your bank account without notice for any reason at any time.

Returned Payments: If your bank returns any payment using your bank account unpaid (for example, if you have insufficient funds available), we may retry the payment. Your bank may charge you an overdraft or other fees for each payment failure. Additionally, you authorize us to charge any other valid payment method we have on file for any amount that remains unpaid after any attempted charge. We may initiate a collection process or legal action to collect any money owed to us. You agree to pay all our costs for such action, including any reasonable attorneys’ fees.
